 Inviting Guests To A Call    

Setting up a conference call is now easier than ever.

There are many ways to invite your clients/colleagues to a conference call but these are the two most common.

  1. Inviting guests by email.
  2. Inviting guests by phone.

When inviting clients/colleagues to a conference call it is very important to:

  • Already have a date and time that you wish to start the conference.
  • Make sure you quote you 6 digit guest code followed by the # key to all clients/colleagues.
  • Know the basic dtmf commands for attending a call. (eg Muting you line *6) Please click here for a list of commands.
  • Send each client/colleague a copy of any documents that you plan to discuss during the call ahead of time.
  • Give the nearest available dial in number to each client/colleague. For a list of numbers please click here.
  • If you plan to use the Web Conferencing tool, make sure all clients/colleagues know how to access the Web Conferencing tool.

A sample email is as follows (just replace the details in square brackets [ ] with your own details):

Hello [GUEST NAME(S)],

You are invited to join a conference call about [SUBJECT] on [DATE] at [TIME].

At that time, dial into +353 1 487 7040
(or click on
http://www.247meeting.com/numbers to get the nearest dial-in number to you)
and put in the PIN code [GUEST PIN CODE]# when prompted.
