Necessary details:
Before you can make a conference call it is very important to make sure you have the following:
- Host Code
- Guest Code
- Dial In Numbers
- Time and date of when the call should start
- Contact number and/or email address for each person who will be attending the call
When you have all of these details you are now ready to set up your first conference call.
Setting up the call:
First things first we need to invite each guest that you wish to attend the call. Email is the easiest way but only if you are sure they will receive the mail in good time so that they are available at the time of the call. If you feel there is a chance that they may not receive the email invitation you should then call them to make sure.
You should give each participant the Guest code. This code is made up of six digits and followed by the # key. They will also need to dial into the Conferencing Bridge using the nearest number to them. For a list of dial in numbers please go to: www.247meeting.com/numbers. (All numbers get you into the same conferencing bridge so everyone dials the nearest number to themselves)
Dialling in to the call:
When the guests dial in they will be then prompted for the six digit pin followed by the # key and they are now in conference. If they are dial in before the host then the meeting has yet to start. They will hear hold music until the host dials in to the call.
When the host dials in to the call they are prompted for the six digit host code again followed by the # key. Once the host has entered the code the meeting has now begun. All guests will no longer hear hold music and the conference can begin.
Useful Functions:
*5 - Lecture mode: Lecture mode is a function only the host can use. This function mutes all other users and will allow the host to speak without any interruptions. This function is especially useful if there is noise coming from one or more of the guests. You can turn off this function at any time by pressing *5.
*6 - Mute: This function can be used at anytime time by any user. This function will only mute your own line. This is very important when calling in from a mobile phone or where you might have a lot of background noise on your line. You can turn off this function at any time by pressing *6.
*8 - Roll Call: The Roll call function is a great way of finding out who is currently dialled into your call. When you dial *8, you will hear the name of each guest played back to you. To use this function you must first have 'Announcements' activated on your account.
